How to Prepare

Q: What time zone will Virtual Experience be livestreamed?

A: Eastern Time (ET). Convert to your time zone here.

Q: What will be covered during the livestreamed event?

A: We will offer three full days of programming, totaling over 100 individual sessions. The current agenda (pending finalization) is available for you to review. As the event draws closer, we will release a schedule planner for you to explore the complete program in more detail.

  • Three days of “live” virtual educational opportunities.
  • Access to the Virtual Exhibit Hall over the three-day event, with ample time built in to converse live with exhibitors during exhibit hours or schedule one-on-one virtual appointments.
  • Networking opportunities to help you connect with fellow attendees and ACP staff.
  • A platform to engage with the presenters and participate through extended Q&A sessions, chat, and live polling options.

Q: How will I access the live Virtual Experience event?

A: Registered attendees will receive access instructions via email and in MyACP alerts before the meeting begins.

Step 1: Check In

The first step after registering will be to Check In, which you'll be able to do starting in mid-March, so watch your email and MyACP alerts for a link, then Check In early so you'll be ready!  The access information will be sent to the email address you used to register, so make sure to allow emails from ACP (acponline.org and acpprograms.org). If for some reason you do not receive your access instructions by April 22, please contact ACP’s Member and Product Support team at 800-ACP-1915 (800-227-1915), or at 215-351-2600 M-F, 9 a.m. to 5 p.m. ET, or by web chat or email at www.acponline.org/contact

Step 2: Log In to Virtual Attendee Hub

Read detailed instructions with screen shots here.

Q: Where can I browse session topics and schedule information?

A: Start here for current information and check back often for updates, since this information is being updated continuously as new information becomes available.

Q: How do I launch a livestream session?

A: All of the live streams will be delivered directly within the event platform (the Virtual Attendee Hub, powered by Cvent). You’ll be able to build your own schedule, then the event hub home page will show which sessions are next to stream live.

Q: How can I participate in the sessions or ask presenters questions?

A: Most sessions will allow attendees to post questions via a “Q&A” tab that will be made available directly adjacent to the video player. No additional login or account will be required, so you’ll simply enter your question and a moderator will direct the question to the speakers. You’ll also have the opportunity to “upvote” other attendees' questions if someone has already asked a question you’d like to see answered. Some sessions will additionally allow live chat between other attendees, speakers, and moderators. Some will also offer live polling so you can answer questions posed by the speakers in real time.

Q: How do I access and download handouts?

A: Your Virtual Experience registration fee includes online access to all session handouts. You will be able to download individual session handouts directly from within the ACP Virtual Experience platform.

Q: Will the virtual event be a combination of “live” and “on-demand” sessions?

A: Yes, livestreaming sessions will be presented in real time, synchronously. Sessions will be recorded for you to view after the livestream sessions are completed. In most cases, recordings for playback will be available within one hour of the livestream completing, directly within the same platform.

Tech Requirements

Q: What are the system requirements?

A: To ensure an optimal experience, you should have access to the following:

  • High-speed internet connection (a minimum of 25 Mbps available bandwidth is recommended for optimal experience); see https://speedtest.net/ to test your specific connection.
  • A current version of the Google Chrome, Mozilla Firefox, or Safari web browser.
  • iOS (Apple) and/or Android-based smartphones or tablets, updated to run the most current version of the respective operating system.
  • Ensure that your network is not blocking the platform or any of the video playback. See the answer to the next question for specifics. The best way to confirm this is by checking in a few days in advance of the event and ensuring that you can successfully log into and navigate the platform.

Q: How do I know if my device will work for the livestream?

A: Be sure to check your system’s compatibility with the livestreaming platform (Cvent) prior to attending the event. If you will be accessing the event from within an organization/business network, be sure to confirm that the following domains are allowed by your IT department: streaming from these domains and email from these domains.

  • You can connect your computer by an ethernet cable directly from your internet router to maximize your internet connection speed.
  • Close out of all other applications on your device that are not essential to your live stream. The fewer programs that are running on your computer or mobile device, the more bandwidth and computing power will be available for the virtual event platform.
  • Disconnect other non-essential devices around your home (or office) that are connected to the internet.
  • Ensure that your setup meets the requirements listed above.

Q: Can I share my login with anyone else?

A: No, each attendee requires their own registration to log in. Your login will be connected directly to your own profile information and cannot be shared with others, as doing so would disable your own access to the platform.

Q: Will there be a mobile app?

A: Yes, a mobile app for both iOS and Android will be made available in advance of the event. You'll be able to use the app to build your schedule, receive important push notifications, and interact in various ways with other attendees, speakers, and ACP staff. See instructions about how to download and use the app (available in early April).
