Frequently Asked Questions

Q: Are exhibitors required to be vaccinated for COVID-19?

A: No. ACP no longer requires the COVID-19 vaccination for in-person attendees at Internal medicine Meeting.

Q: Does my booth fee include carpet and furnishings?

A: No, you will be able to order these items and any other exhibitor services via the Exhibitor Service Manual, which becomes available in January. Carpet/flooring is required. Freeman Exposition Services will, at the Exhibitor’s expense, install carpet in any booth in which carpet or flooring installation has not begun by 4:00 p.m. on Wednesday, April 17.

Q: What are Priority Points and how do they work?

A: Exhibitors earn 1 point per 10x10 space for exhibiting as well as a 3-point bonus if they exhibited the previous year. New exhibitors start at zero points. During registration between July 1 and October 11 (Priority Point Deadline), applications include a “Top 5” booth choice section. After the deadline, booths are assigned starting with the application with the highest number of points. Once all Priority Point booth applications are assigned, the exhibit contract switches to a system in which exhibitors choose booth space themselves.

Q: How many Exhibit Hall badges will I get? And are scientific sessions included?

A: There is no limit to the number of Exhibit Hall badges requested per booth. Exhibit Hall badges do not allow access into scientific sessions.

Q: If I have a problem on-site at the meeting, who should I contact?

A: If you need help with any exhibitor services (e.g., lead retrieval, shipping, electrical, etc.), there will be representatives available in the Exhibitor Service Center located in the Exhibit Hall. For all other on-site issues, contact the ACP Exhibit Team at exhibits@acponline.org or ask for us at the Exhibitor Registration desk.

Q: How do I protect myself from scammers who pretend to sell services for the meeting?

A: Exhibitors are sometimes targeted by UNAUTHORIZED companies who many claim to be affiliated with ACP/Internal Medicine Meeting 2023. These companies are not authorized to provide conference‐related services such as attendee mailing lists, registration, or housing reservations. Entering into agreements with such companies can have costly consequences.

All legitimate vendors working directly with ACP will use our Official Vendor logo, which will be displayed in the Official Vendor List on the Exhibitor Dashboard.

Feel free to ask us first before doing business with any vendors.

Q: Do I have to submit a Booth Activities / Giveaways Request form even if my items are on the approved list?

A: Yes, all giveaways must be submitted online via the Booth Activities Request Form and approved by ACP prior to the Internal Medicine Meeting. The form will be available in the Exhibitor Service Manual and is due on March 6, 2024.

Q: Can I rent an attendee registrant list?

A: Pre- and post-registrant lists may be purchased by exhibitors who plan on sending a promotional mailer. In order to protect the privacy of our attendees, only mailing addresses of those who opt-in to receive information are provided.

Q: How do I capture attendee information easily when I'm on-site?

A: Lead Retrieval! Exhibitors may rent an app or handheld device to scan badges which capture the attendees' contact information. E-mail addresses and NPI numbers will be included if available. The leads do not include phone numbers or fax numbers, due to ACP's policy to protect our members' privacy. Information on renting a lead retrieval unit will be included in the Exhibitor Service Manual.

Q: Where can I find the best hotel rates?
